SuperFox has an intuitive set of management reports that give a very clear view of the setting usage patterns and finances and that help settings work with Free Entitlement funding and the Early Years Census. You can also manage and plan your oververall setting finances.

Usage Reports
Usage Bar Chart
Show how many children are using the setting day by day in terms of fees charged and childcare hours provided. You can display all data or data filtered by session type (e.g. breakfast club only) or child's age, gender, family, ethnicity, etc. Great for seeing or showing how you are doing and trend spotting at a glance.
Usage Pie Chart
Show how who is using your setting and which services are popular. You can display all data or data filtered by session type (e.g. breakfast club only) or child's age, gender, family, ethnicity, etc. The pie charts are expressed in terms of fees and hours of childcare provided. These are great for planning, troubleshooting, marketing and equal opportunities. Together with the Usage Bars these charts give a very complete picture of who is using your setting and how they are doing it.
FTE Bar Chart
FTE Bar Charts show setting usage in terms of the setting's average daily occupancy expressed as the number of children and as a percentage of the setting's maximum capacity. Funding bodies often use FTE and percentage occupancy reports which can now be prepared with a couple of clicks of the mouse.
Financial Reports
Setting Ledger
SuperFox has a flexible advanced cash book that you can browse, filter and sort to report on any aspect of the setting finances. You can print your findings in exactly the same way that they appeared on the screen with the same real-time totals. You can set up your own income and expenditure categories to match your current financial systems.
Cash Flow Graph
This report starts with a graph showing changes in the setting cash balance, followed by a cash flow summary and details of all income and expense items. Anybody can understand this report at a glance and it is very easy to reconcile this report with bank statements and receipts. It’s an easy way to examine and plan the setting cash flow.
Income and Expenditure Report
This is a receipts and payments style accounting statement that is useful in any type of setting and is always of use to charities making CC16 Charities Commission returns. Like all of the financial statements this report will use your own income and expenditure categories.
Profit and Loss
Making a profit, or receipt of grant funding close to the end of a company year may have tax implications. SuperFox uses a simple wizard to produce a profit and loss statement that can be used to help with corporation tax planning or to estimate retained earnings for the coming year.
Capital Expenses
This is another report that starts with an easy to understand graph showing capital expenses against time. There is also a simple breakdown of the capital expenses which is very easy to reconcile with bank statements and receipts. It makes it very easy to look at capital expenses and capital grants in team meetings and when working with funding bodies.
Revenue Expenses
This is very similar to the capital expenses report and it is used to look at revenue expenses and grants in team meetings and when working with funding bodies. The report starts with a graph showing revenue expenses against time. This is followed by a simple breakdown of the revenue expenses which is very easy to reconcile with bank statements, receipts and business plans.
Free Entitlements/Early Years Reports
Milk Claims
Handy milk claim summary with totals and averages for your milk claim and a daily headcount of eligible children for audit evidence.
Headcount Summary
This is a simple report of eligible children’s details and their Free Entitlement and total setting usage over a given date range. This report gathers together information that you may need to prepare estimates and final totals for Free Entitlement returns.
Usage Summary
Many local authorities collect the information in this is a setting-wide report of the Free Entitlement delivered in a chosen period. There are two parts. The first is a simple list of children and their hours used. The second is a summary of the hours delivered and sorted into half hour brackets.
Early Years Census Pupil Data
SuperFox holds most of the pupil level data required for the Early Years Census. This can either be saved as a text as shown here, or it can be saved as an Excel spreadsheet which can be used to copy and paste information into the spreadsheet version of the census return.
Free Entitlement Weekly Check | Period Check
You can also produce a couple of reports for your own internal use to check families free entitlement usage for complete weeks or for an exact date range such as a return period or the year to date. |
